Job Overview
ASA International (Rwanda) Plc is recruiting a highly organized and professional Executive & Administrative Assistant to provide direct support to the Chief Executive Officer (CEO). This Kigali-based role requires a proactive individual capable of handling complex schedules, confidential information, and high-level communications in a fast-paced professional environment.

Role Summary
The Executive & Administrative Assistant will provide high-level administrative, coordination, and strategic support to the CEO. The role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities simultaneously.
The successful candidate will act as a key liaison between the CEO, internal teams, board members, and external stakeholders. This position is ideal for a professional who thrives in executive environments, demonstrates sound judgment, and communicates effectively at all organizational levels.

Key Responsibilities
The Executive & Administrative Assistant will be responsible for a wide range of duties that ensure the smooth functioning of the CEO’s office and support overall organizational effectiveness.
Executive Support & Coordination
- Manage the CEO’s daily calendar, appointments, meetings, and travel arrangements.
- Coordinate domestic and international travel, including logistics, itineraries, and accommodation.
- Act as the primary point of contact for the CEO’s office, screening calls, emails, and requests.
Documentation & Communication
- Draft, review, and edit reports, presentations, correspondence, and official documents.
- Record accurate meeting minutes, track action points, and ensure timely follow-up.
- Maintain organized electronic and physical filing systems for confidential records.
Meetings & Events Management
- Organize board meetings, executive meetings, workshops, and company events.
- Prepare meeting materials, agendas, and briefing notes in advance.
- Support post-meeting reporting and coordination with relevant stakeholders.
Stakeholder & Organizational Support
- Liaise professionally with staff, partners, regulators, and external stakeholders.
- Support internal communication and coordination across departments.
- Assist with research, partnerships, donor engagement, and fundraising activities as required.

Qualifications & Experience
To succeed in this role, candidates must demonstrate a strong academic background combined with relevant professional experience.
Education
- Bachelor’s degree in Business Administration, Management, Finance, Communication, or a related field.
- A Master’s degree will be considered an added advantage.
Professional Experience
- 3–5 years of experience providing executive-level administrative support.
- Prior experience in finance, banking, microfinance, or NGO sectors is highly desirable.
- Proven ability to work with senior executives and manage confidential information.
Technical Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience using digital collaboration and communication tools.
- Strong documentation, reporting, and presentation skills.
